To provide our clients with the best services and our interpreters with the best working conditions, we at Olyusei have established certain standards to guarantee service provision levels.
These conditions shall be agreed once the purchase order (PO) has been confirmed and they shall be adhered to by all Olyusei collaborators.
Conditions agreed in the purchase order (PO)
The acceptance of a PO for any interpreting job shall be deemed as a binding agreement in which Olyusei is the interpreter’s client. Any issue regarding fees and working conditions for a job shall be communicated to Olyusei beforehand, and under no circumstance shall requests for overtime, travel costs or any other kind of additional charge be accepted when not previously discussed.
Interpreters may have particular conditions relating to their work. It is their obligation to inform the client, in this case, Olyusei, of said conditions, which may be negotiated by and shall require the acceptance of Olyusei.
All interpreters that collaborate with Olyusei shall confirm via email their acceptance of the PO for each job.
Cancellation Policy
The Cancellation Policy may depend on conditions imposed by the client and, in such case, it shall be agreed on an individual and direct basis with each interpreter.
For all other situations, deemed to be normal situations, the cancellation fees agreed in each case shall be applied.
Should interpreters cancel once the PO has been received, they shall be responsible for finding a replacement at the same tariff.
Olyusei defends and safeguards the rights of interpreters and their working conditions to the extent possible.
Confidentiality Agreement
To obtain all of the documentation and information available and to give it to the interpreters so they can prepare for the corresponding interpreting job, all interpreters collaborating with Olyusei shall sign the general Confidentiality Agreement applicable to all work undertaken by Olyusei.
On the request of clients or when regarding sensitive or protected data, specific confidentiality agreements may need to be signed.

Contact with Olyusei’s clients
As regards all in-person interpreting services, the interpreters hired by Olyusei shall always be present in the capacity of Olyusei interpreters. They shall provide material and contact details of the company, refraining in any case from providing their own personal or contact details (e.g., personal or professional business cards).
Should our client (or any other client for Olyusei that materialises during an interpreting service) request contact details from interpreters, Olyusei’s contact details shall always be provided and interpreters’ names may be given. As such, should the client wish to use a specific person in the future, it may make such request to Olyusei using the interpreter’s name.
Under no circumstance shall it be tolerated for interpreters to hand out personal business cards unrelated to Olyusei. Olyusei business cards, on the back of which they may write their name, are available to all interpreters on request. Failure to comply with this clause shall be understood as a breach of the entire agreement formalised by and between the interpreter and Olyusei. In such case, Olyusei reserves the right to take appropriate action.
Contact between interpreters
Olyusei encourages contact between interpreters to facilitate the organisation of jobs insofar as possible (client information, organising transport, etc.).
The fees agreed between an interpreter and Olyusei are negotiated on a private and individual basis, taking into account the circumstances and particularities of each professional and job in question. Therefore, they are considered private and the corresponding interpreter is expected to use the highest discretion as regards other colleagues, interpreting service providers and clients.
Social Networks and sites
Any interpreter that wishes to share their interpreting work for Olyusei through digital means, shall send a written prior request for such purpose to Olyusei. If authorised, the interpreter shall tag or reference Olyusei as the direct client in said publications.
Recording, transcription and sharing interpreting audio
Acceptance of the PO for any Olyusei job implies the transfer to Olyusei of any copyright on the audio from interpreting services.
Interpreters that do not accept this clause shall inform Olyusei prior to accepting the PO, presenting the legal agreement containing the conditions to be negotiated and agreed to or rejected by Olyusei.
Responsibilities during the assignment
In-person and/or hub interpreting: During the assignment, interpreters shall always arrive on time (at least 30 minutes in advance). They shall greet the organiser and introduce their booth colleagues and the technicians. Additionally, interpreters shall familiarise themselves with the interpreting equipment, do a sound test and set out the work dynamics with their booth colleagues.
In-person interpreting always requires formal attire. Interpreters shall arrive sufficiently in advance and with all the material they may need to carry out the job, as well as know and respect the cultural protocol applicable in each case. Any doubts interpreters may have in this regard shall be discussed with Olyusei in advance.
Remote interpreting is undertaken at our hub and does not require any kind of specific attire. However, it does require respectful behaviour towards colleagues, especially in the booth. Therefore, care shall be taken to avoid entering booths with unpleasant smells, such as tobacco or excessive perfume. The use of air conditioning or heating inside booths must be agreed to by the interpreters working in them. Food shall not be consumed in booths (Olyusei provides a common break area where food can be consumed).
Remote interpreting from interpreters’ homes: Interpreters that work from home shall ensure that they have a working environment free from noise and disruption. They shall have previously completed the training of the Olyusei Virtual Console and have tested the connectivity on their computer (minimum of 5 Mbps symmetrical – http://olyusei.speedtestcustom.com/). The headphones, microphones and equipment shall be the same as those used during testing. Olyusei may at any time require its interpreters to provide a commitment of use of approved resources.
The internet connection shall be cable, never wifi, and should be specially optimised for Google Chrome, although it may also use other browsers. Interpreters shall log in 60 minutes before the start of the event for the final technical tests and ensure that they have received their password to access the virtual console beforehand.
A backup internet connection is recommended, as well as additional headphones, microphones and a computer in case the main ones fail to work.
Safe listening
Interpreters working remotely from their homes shall commit to having the necessary audio equipment that ensures their safe listening. Under no circumstance whatsoever shall Olyusei be held responsible for any damage caused to their hearing. Likewise, Olyusei is committed to do everything humanly possible to counteract acoustic shocks that can be generated by videoconferencing platforms.
Post-job responsibilities
As soon as possible after the event, and if circumstances so require and/or allow, interpreters and Olyusei will hold a meeting (debriefing) to share their thoughts on the undertaking of the service and try to identify any aspect that could be improved on for future collaborations. Equally, interpreters can get in contact with the client (Olyusei) via email to evaluate and provide feedback on the job.
Invoices
All invoices shall be sent to ana@olyusei.com by the 4th day of the month following the invoice date, referencing the corresponding PO number and the file with the name of the interpreter and the corresponding month.
If an interpreter does several jobs for Olyusei in the same month, the interpreter will group them together in the final invoice. The pre-established conditions for the payment of invoices are 60 days after the invoice has been processed (at the end of each month).
Contractor and subcontractor certificate
In accordance with current legislation, Olyusei collaborators shall submit their Contractors and Subcontractors certificate in the name of the company, OLYUSEI S.L., with Tax ID Code B87042099, on an annual basis to ana@olyusei.com. This legal condition is essential for the processing of payments.
